How long does migration to Google Workspace take?

The duration depends on user count and the amount of data to migrate. In a company with 10 to 50 users, preparation, data migration, and the MX cutover are usually completed within a few business days. Large mailboxes are pre-migrated in the background, so users experience no interruption on migration day.

The tools used are Google's official migration tools. The method and duration are finalized in the quote based on the source system.

How migration proceeds

    Discovery

    User list, mailbox sizes, shared addresses, other systems that send mail on your behalf, and DNS access are gathered.

  2. 02

    Preparation

    The Workspace account is created, the domain is verified, and users and groups are set up. The old system keeps running.

  3. 03

    Pre-migration

    Old email and calendars are migrated in the background. Users notice nothing during this process.

  4. 04

    MX cutover

    The MX record is usually pointed to Google on a Friday evening, and the final differences are synced.

  5. 05

    First-day support

    On Monday morning, our team resolves phones, Outlook connections, and user questions, on site or remotely.

  6. 06

    Cleanup

    SPF, DKIM, DMARC are finalized, old licenses are canceled, and admin access is handed over.

Frequently asked questions

Is there a moment during migration when we cannot receive email?

No. While DNS propagation is in progress after the MX record change, incoming mail lands on one of the two systems. After the cutover, the mail on the old system is synced once more to the new accounts.

Are my folders and labels preserved?

Yes. Outlook folders appear as labels in Gmail. The folder structure and read status are preserved.

When should I cancel my Microsoft 365 subscription?

After the migration is complete and has run without issues for a few days. We check the end date of your annual commitment together to make sure you do not pay for anything unnecessary.

Can users adapt to the new system?

Most adapt within the first week. During migration week we provide short training sessions and an FAQ document. We also set up a connection for those who want to stay in Outlook.
